Office Assistant / Receptionist

Description:

This Receptionist position is full time and located in our Federal Way business office. This position is primarily responsible for answering the incoming phone lines and providing administrative support on a variety of tasks. This position will report feedback and work activity to the Valley Radiologists’ Administration.

We are looking for someone with prior experience in managing and triaging front desk incoming calls, physician scheduling, medical record management and, in addition, frequent and close interaction with referring physician offices. The ideal candidate will be a self-starter with obvious enthusiasm, energy, finesse and compassion. The receptionist is a vital part in the workflow of our organization and, therefore, we are looking for that special person that can fill all our expectations (skill, personality, drive, etc.). Shift is Monday through Friday 9:00am – 5:30pm.

Duties:

· Monitor and manage the incoming call lines for the billing office.
· Schedules interviews for open positions, when applicants arrive have them fill out their application, grammar test (if applicable) and notify the supervisor of their arrival.
· Ensure deliveries are signed, checked over for correct order and given to addressee.
· Distribute voice mails and emails to appropriate billing personnel.
· Manages calls to the AUTH, IR Office, Fee Request and WebPay lines – assuring that calls are answered by a live person.
· Provide back up support to the Executive Secretary for meeting management and radiologist scheduling.
· Other duties as assigned.

Primary backup to the Radiologist Receptionist in all of the following areas:
· Ensure iRad “help” emails from radiologists are handled expediently.
· Manage WISMRI emails if the Radiologist Receptionist is not available.
· Manage Urgent Consult emails if the Radiologist Receptionist is not available.
· Provide exemplary customer service and customer care, recognizing there is nothing more important than efficient use of physician time, and efficient pleasant collection and transmission of messages is critical to the success of Valley Radiologists and to the provision of timely patient care.
· Demonstrate ability to work under pressure, critical thinking skills required, use of technology, ability to not get flustered and project aura of calm, mature and professional management of calls.
· Demonstrate proficiency with automated tools and have ability to suggest ways to reach radiologists and work with the personnel at the various service sites.
· Be cognizant and limit disruption of the radiologist’s read time in order to prevent non-compliance and eventual failure of the 24/7 promise.
· Answer all incoming calls and forward calls to the appropriate subspecialty group or particular radiologist as necessary.
· Minimize wait time for referral calls.
· Oversee that voice mails are retrieved and routed or returned timely.
· Minimize occasions/need for referrals to leave messages with the radiologists.
· Filter miscellaneous calls and route to appropriate personnel.
· Track down the radiologist if the call is of an urgent nature and will immediately affect patient care.
· Provide assistance in finding adequate coverage for the referral calls if there are changes to the radiologists schedule or unexpected absences.
· Utilize the radiologist’s scheduling software and communicate to the Administrator and Assistant Administrator any scheduling conflicts or gaps that may arise due to unexpected radiologist absences.
· Provide assistance in filling gaps in the schedule for short-term scheduling conflicts.
· Monitor and respond within one (1) hour to any urgent emails from referring clinicians.
· Provide back up administrative support for the radiologists.

Qualifications:

EXPECTATIONS:
· Professional attire for this position is extremely important because the Receptionist is the “face” of the company. Therefore, casual attire such as shorts, tees or tank tops will not be considered appropriate.
· Demonstrate strong self-management and organization skills.
· Ensure that high quality customer service standards are achieved by demonstrating effective and professional written and verbal communications.
· Be accessible and responsive to referring physicians, clinicians, patients, clients and administration.
· Consistently strive to meet the “Our X minute promise” when handling referring physician call requests.
· Communicate any concerns and/or questions to the Assistant Administrator promptly.

QUALIFICATIONS:
· Medical office accounts receivable experience preferred.
· Associates of Arts Degree or higher preferred. Experience may be considered substitution for degree.
· Proficient in Word, Excel and Outlook.
· Must pass Grammar and Writing Test.
· One (1) year office receptionist experience required
· Must be computer savvy
· Excellent interpersonal communication skills
